Gravity Forms on the BC Forms Server

Summary

Forms that collect protected student information that falls under FERPA, PII, or other protections should be located in Bellevue College's Forms Server. 

You can tell that forms are located here by the URL- forms.bellevuecollege.edu. 

This article covers how to access and use forms on the BC forms server, and how they differ from forms located within the main BC website. 

About the Forms Server

If you have secured forms, you will have a separate WordPress-based site on forms.bellevuecollege.edu used exclusively for forms and pages with forms inserted on them. As this is a separate site, permissions, navigation, and sidebars will also be managed separately from your main site. 

Do I have a site on the Forms Server?

Not all BC sites have a companion site on the BC forms server; if you do not collect protected information through your forms, you may not need one! You can tell if you have a companion Forms Server site by the 'Forms Server' link on the sidebar of your Dashboard. 

Managing Forms on the Forms Server

Managing forms on the Forms Server is very similar to the normal forms management process.

  1. Log in to your BC Website
  2. Click the Forms Server link on the sidebar of the Dashboard
  3. Click the forms server button. You may want to right click and open in new tab to have easy access to both sites. 
  4. Create or Modify a form
  5. Making sure you are on the Forms Server, click Pages on the sidebar
  6. Create or modify the page on which you would like to have the form inserted
  7. Click inside the main content area, where you would like the form to appear
  8. Click the '+' Add Block button
  9. Search for the Forms Block and Insert it.
  10. Select the form you wish to insert on this page, and set any other options in the right sidebar
  11. Update or Publish the page

Once the page has been published, it is time to link to the form page from your main website.

  1. Click the Page Title, then locate the link labeled 'Permalink' that will appear when you click the title
  2. Right click and Copy this link
  3. On your main website, type in the text you would like to link to the form
  4. Select the text, and click the 'Link' button in the editor toolbar
  5. Paste in the link you copied in step 2.
